What the minimum means
An organiser can require a minimum number of players by a chosen reservation deadline. uDink counts eligible player reservations; the organiser is not counted towards meeting the minimum.
The session detail shows whether a requirement is active and the relevant status.
Cut-off rules for organisers
When creating or editing a session:
- A Reserve First, Pay Later reservation deadline must be at least 48 hours before the session starts.
- Other session types require the minimum-player deadline to be at least two hours before the start.
- The minimum cannot be greater than the session capacity.
Once the first post-paid card reservation exists, the organiser cannot reduce the capacity or minimum in ways that conflict with the locked reservation settings.
What happens at the reservation deadline
For Reserve First, Pay Later sessions, the reservation deadline starts a two-hour confirmation window. Players may receive a notification to confirm or make any permitted amendment.
At the end of that window:
- if enough eligible reservations remain, the requirement becomes satisfied and reservations are locked; or
- if the minimum is not met, uDink cancels the session and notifies affected players.
For a cancelled post-paid session, no final session charge is made. Any legacy temporary authorisations are released. For a cancelled pre-paid session, uDink attempts refunds for completed payments; refund timing then depends on Stripe and the card issuer.
What happens next?
Check the session detail and notifications for its confirmed or cancelled status. If the status is unchanged after the confirmation window, reopen the session and contact support if it still appears incorrect.
