Edit or cancel a session

See which session fields can be changed before and after players join or reserve.

Who can make changes

Open the session and check the organiser actions shown for your role.

The session host can manage their session. An eligible public-group administrator may also see management actions for a public-group session. Private-session management remains with the host.

If an edit or cancellation action is not shown, your role or the session state does not currently permit that action.

Before anyone joins or reserves

Before a participant creates a lock, organisers can generally edit the session title, start date and time, end time or duration, venue, capacity, level, additional information and minimum-player settings.

Pricing depends on the session type:

  • Free and See Notes sessions have no uDink payment fields to edit.
  • Pre-Paid sessions can update the player fee, court fee, organiser fee and incidentals while there are no confirmed participants, subject to the payment rules shown by uDink.
  • Post-Paid sessions can update the court fee, organiser fee and incidentals, and uDink recalculates the estimated fee per player, until post-paid pricing is locked by the first card reservation.

The current app does not provide a payment-type switch in the edit flow. To use a different cost-sharing type, create a new session.

On Android, the sport can also be changed before anyone joins. On iPhone, the sport is shown in the edit screen but does not currently have an edit control.

Edit the session

  1. Open Sessions and choose My Sessions.
  2. Open the session you organise.
  3. Select the available edit action.
  4. Change only the fields that remain editable.
  5. Review the updated summary.
  6. Save the changes and wait for the session detail to refresh.

Review the fields that are enabled for the current session state before saving.

After a player joins or reserves

Once a player has joined a free session, or a paid-session participant has reached the relevant reserved or confirmed state, uDink locks the session details that could change the participant's commitment.

The fields that remain editable are:

  • Session Title;
  • Capacity, subject to the limits below;
  • Additional Info For Players; and
  • Min. Reserved Players, provided the updated deadline and count still satisfy the session rules.

The following fields are locked after this point:

  • start date and time;
  • end time or duration;
  • venue;
  • level;
  • sport on Android; and
  • all pricing fields.

In other words, pricing fields are locked once the relevant participant or payment lock is reached.

The lock trigger is different by session type:

  • Free and See Notes lock when a Going RSVP from a player other than the host is recorded.
  • For Pre-Paid, it is a confirmed participant other than the host.
  • For Post-Paid, it can include a confirmed or reserved participant, a saved payment method or authorisation state, or the recorded post-paid pricing lock.

Capacity and minimum-player restrictions

  • Capacity cannot be reduced below the current joined-player count for Free or See Notes sessions.
  • Capacity cannot be reduced below the current confirmed-player count for Pre-Paid sessions.
  • After post-paid pricing is locked, capacity cannot be reduced below the capacity that was already set. It can be increased only when the resulting post-paid pricing still passes uDink's payment rules.
  • After post-paid pricing is locked, an existing minimum-player requirement cannot be reduced. It can be kept or increased when the updated session remains valid.
  • A minimum-player cut-off must remain at least two hours before a non-post-paid session, or 48 hours before a Post-Paid session.

If a field is disabled or a validation message appears, use the value shown by uDink as the current rule. Explain material changes to players in session chat and cancel the session when it can no longer proceed safely or accurately.

What the session type means for editing

Free or See Notes

There is no payment calculation to update. Before a player joins, the organiser can edit the available session details. After a Going RSVP, only the title, capacity, additional information and permitted minimum-player settings remain editable.

After that lock, only the session title, capacity, additional information and permitted minimum-player settings remain editable.

Pre-Paid

Before any participant is confirmed, the organiser can edit the session details and pricing fields shown in the app. Once a participant is confirmed, pricing is locked and only the limited fields remain editable.

Post-Paid

Before the first card reservation locks pricing, the organiser can edit the available session details and post-paid cost inputs. After pricing is locked, payment fields cannot be changed. Capacity cannot be reduced, and an existing minimum-player count cannot be reduced.

Recurring sessions

Each occurrence in a recurring series is a separate session after creation. Open the specific date you want to manage. Editing or cancelling that occurrence does not automatically change the other dates in the series.

Cancel a session

  1. Open the session.
  2. Select the available cancellation action.
  3. Review the warning and confirm the correct occurrence.
  4. Wait for the session to show its cancelled state.

Cancellation notifies affected players and closes active participation. Completed pre-paid payments enter the refund process. A cancelled Reserve First, Pay Later session is not finally charged; any legacy temporary authorisation is released.

What happens next?

Reopen the session to confirm the saved changes or cancelled status. Check session chat and notifications for participant updates, and contact support if payment handling does not progress as expected.
